Claimora Solutions (“Claimora,” “we,” “us” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect through our Website and business communications, how we use and disclose it, and the choices and rights you have.
1. Who we are and what this policy covers
Claimora Solutions provides revenue cycle management (RCM), medical billing, medical coding, eligibility verification, credentialing and related administrative support services to healthcare organizations in the United States. We do not provide medical care, and we are not a health insurer.
This Privacy Policy applies to personal information we collect:
- on claimorasolutions.com (the “Website”);
- through our contact, consultation and feedback forms;
- in email, phone, text and other communications between you and Claimora; and
- about business contacts at current and prospective client organizations.
This Privacy Policy does not apply to:
- Protected health information (PHI) we handle for our clients. When we provide services to a healthcare provider, we act as that provider’s “business associate” under the Health Insurance Portability and Accountability Act of 1996 (HIPAA). PHI is used and disclosed only as permitted by HIPAA and by the Business Associate Agreement (BAA) we sign with that provider. Patients should refer to their provider’s Notice of Privacy Practices.
- Information collected by third-party websites or services that link to or from our Website.
- Information about our own employees and contractors, which is covered by separate notices.
By using the Website, you acknowledge the practices described in this Privacy Policy.
2. Notice to patients
Are you a patient? Claimora Solutions works behind the scenes for healthcare practices. We are not your healthcare provider or insurer, and we cannot discuss, change or accept payment for your bill through this Website. Please contact your healthcare provider’s office using the phone number on your statement.
Please do not send health information through this Website. Our contact form, feedback form and general email addresses are not designed to receive PHI. Do not submit patient names, dates of birth, insurance ID numbers, diagnoses, claim details or other health information. If we receive PHI through the Website by mistake, we will limit access to it and delete it or handle it as required by law.
3. Information we collect
“Personal information” means information that identifies, relates to or could reasonably be linked with you. In the past 12 months we have collected the following categories:
| Category | Examples | Source |
|---|---|---|
| Identifiers and contact details | Name, email address, phone number, IP address | You; your device |
| Professional information | Practice or organization name, job title, specialty | You; business databases and public sources |
| Communications and feedback | Messages you send, consultation notes, ratings and comments you submit | You |
| Internet or device activity | Browser and device type, pages viewed, referring page, date and time of visit | Your device, through our hosting and security providers |
| Communication preferences | Email opt-outs, call and text consent or opt-out | You |
We do not intentionally collect Social Security numbers, financial account numbers, payment card numbers or health information through the Website.
4. How we collect information
- Directly from you, when you fill in a form, email us, call us, or speak with us during a consultation or event.
- Automatically, when your browser connects to the Website. Our hosting and security provider records technical information such as your IP address and browser type to deliver the Website and protect it from abuse.
- From other sources. To identify healthcare organizations that may benefit from our services, we may obtain business contact information (such as name, job title, work email, work phone and organization) from commercially available business databases, professional networking sites, public directories and organization websites.
6. How we use information
We use personal information to:
- respond to your questions and schedule consultations;
- evaluate, provide, manage and improve our services for client organizations;
- send business communications about our services, which you can opt out of at any time;
- review and respond to feedback, and with your permission, share it as a testimonial;
- operate, secure and maintain the Website, including detecting fraud, spam and abuse;
- keep business records and meet legal, tax, accounting and regulatory obligations; and
- establish, exercise or defend legal claims.
8. We do not sell or share your personal information
We do not sell personal information, and we do not “share” personal information for cross-context behavioral advertising as those terms are defined under California and other state privacy laws. We do not sell or share mobile phone numbers or text-message consent with third parties for their own marketing. We have not sold or shared the personal information of anyone we know to be under 16.
9. Email, phone and text communications
Email. Our marketing emails identify Claimora as the sender, include our postal location, and contain an unsubscribe link. You can unsubscribe at any time by using that link or emailing us, and we will honor your request within 10 business days. We may still send you messages about an inquiry you made or services you receive.
Phone calls and text messages. We call or text mobile numbers for marketing only with your prior express consent, which you may give through the optional checkbox on our contact form. Consent is not a condition of purchasing any service. Message and data rates may apply. You can opt out of texts at any time by replying STOP, and you can ask us to stop calling you at any time by telling us during a call or by contacting us. We honor federal and state do-not-call requirements.
10. How we protect information
We use administrative, technical and physical safeguards designed to protect personal information, including encrypted connections (HTTPS), access controls that limit information to people who need it, and secure account practices for the tools we use. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
If a security incident affects your personal information, we will notify you and any required authorities as required by applicable law, including the Florida Information Protection Act.
11. How long we keep information
We keep personal information only as long as reasonably necessary for the purposes described in this policy, including responding to your inquiry, maintaining our business relationship, and meeting legal, tax, accounting and record-keeping requirements. When information is no longer needed, we delete it or de-identify it. Records of opt-out and do-not-contact requests are kept so we can continue to honor them.
12. Where information is processed
Claimora is based in the United States, and the Website is intended for users in the United States. Our personnel and service providers may access or store information in the United States and in other countries, under contractual and security safeguards. For client PHI, any access from outside the United States is disclosed to and agreed with the client in writing before it occurs.
13. Your U.S. state privacy rights
Depending on the state where you live (for example, California, Colorado, Connecticut, Oregon, Texas, Virginia and other states with consumer privacy laws), and to the extent those laws apply to Claimora, you may have the right to:
- Know and access the personal information we hold about you, including the categories of information, sources, purposes and recipients;
- Correct inaccurate personal information;
- Delete personal information, subject to legal exceptions;
- Receive a copy of your personal information in a portable format;
- Opt out of the sale of personal information, targeted advertising and certain profiling (we do not engage in these activities); and
- Not be discriminated against for exercising these rights. We will not deny you services, charge you a different price or provide a different level of service because you made a privacy request.
How to submit a request
Email info@claimorasolutions.com with the subject line “Privacy Request,” or call +1 580-648-4790. Tell us which right you want to exercise and how we can reach you.
Verification and authorized agents
To protect your information, we will verify your identity before acting on a request, usually by matching information you provide with information we already hold. We use information provided in a request only to verify and respond to it. You may use an authorized agent; we may ask for written proof of the agent’s authority and confirm your identity directly.
Response timing
We will confirm receipt of your request and respond within 45 days. If we need more time, we may extend this by up to 45 more days and will tell you why. We do not charge a fee unless a request is clearly excessive or repetitive, in which case we will explain why before proceeding.
Appeals
If we decline your request, you may appeal by replying to our decision with the subject line “Privacy Appeal.” We will respond to your appeal in writing within the time required by your state’s law. If you are not satisfied, you may contact your state attorney general.
These rights do not apply to PHI we process on behalf of a healthcare provider. Patients should direct requests about their health records to their provider, and we will assist our clients as required by our Business Associate Agreements.
14. Additional information for California residents
The California Consumer Privacy Act, as amended (CCPA), gives California residents the rights described in the section above, to the extent the CCPA applies to Claimora. In the past 12 months, we collected the categories of personal information listed in the “Information we collect” table, from the sources and for the business purposes described in this policy, and disclosed each category to service providers for those business purposes. We have not sold or shared personal information, and we do not use or disclose sensitive personal information for purposes that would give rise to a right to limit.
“Shine the Light.” California Civil Code Section 1798.83 lets California residents request information about disclosures of personal information to third parties for their direct marketing purposes. We do not make such disclosures.
15. Children’s privacy
The Website is intended for healthcare businesses and the adults who work with them. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.
16. Third-party websites
The Website may link to third-party websites, such as the sources of industry statistics we cite. We do not control those websites and are not responsible for their content or privacy practices. Please review their privacy policies before providing them with information.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in the law. When we do, we will post the updated version on this page and change the “Last updated” date above. If we make material changes, we will provide additional notice, such as a notice on our home page or an email, where required by law.
